Receptionist
Job Summary
We are seeking a professional and customer-focused Receptionist to join our healthcare team. The Receptionist serves as the first point of contact for patients, visitors, and healthcare professionals, ensuring a welcoming environment and efficient front-desk operations. The role requires excellent communication skills, attention to detail, and the ability to handle administrative tasks while maintaining patient confidentiality and delivering exceptional customer service.
Key Responsibilities
- Greet and welcome patients, visitors, and staff in a courteous and professional manner.
- Register patients and verify personal, insurance, and demographic information.
- Schedule, confirm, and coordinate patient appointments.
- Answer, screen, and direct incoming telephone calls and inquiries.
- Provide accurate information regarding services, clinic locations, physicians, and appointment procedures.
- Maintain patient records and ensure documentation is completed accurately.
- Manage patient check-in and check-out processes efficiently.
- Coordinate with medical, nursing, and administrative staff to facilitate smooth patient flow.
- Receive, sort, and distribute incoming mail, courier deliveries, and internal communications.
- Maintain a clean, organized, and professional reception area.
- Monitor visitor access and follow facility security and safety procedures.
- Process payments, issue receipts, and maintain accurate transaction records when required.
- Maintain office supplies inventory and coordinate replenishment as needed.
- Assist with administrative tasks including filing, scanning, photocopying, data entry, and document management.
- Ensure compliance with healthcare regulations, confidentiality requirements, and organizational policies.
- Perform other duties as assigned by management.
Qualifications and Experience
- High School Diploma or equivalent; additional certification in Office Administration or Healthcare Administration is preferred.
- Previous experience as a Receptionist, Front Desk Officer, Customer Service Representative, or similar role, preferably in a healthcare setting.
- Familiarity with healthcare information systems and electronic medical records (EMR) is an advantage.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Experience handling multi-line telephone systems and office equipment.
