Key Responsibilities:

  • Greet and welcome visitors, clients, and guests in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls, ensuring they are directed to the appropriate person or department.
  • Manage the front desk, including handling inquiries, providing information, and assisting with administrative tasks.
  • Maintain office security by following procedures for visitor check-ins and maintaining a log of visitors.
  • Schedule appointments and meetings for staff, ensuring proper coordination and room availability.
  • Manage office supplies, including ordering, tracking, and inventory management.
  • Handle incoming and outgoing mail and packages.
  • Assist with basic administrative duties such as filing, data entry, and preparing reports as needed.
  • Ensure the reception area is tidy, organized, and professional at all times.
  • Assist with event coordination or office functions when necessary.
  • Perform other administrative tasks and special projects as assigned.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration is a plus.
  • Proven experience as a Receptionist, Front Desk Representative, or similar role is preferred.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking abilities.
  • Ability to maintain professionalism in a fast-paced environment.
  • Positive attitude and strong interpersonal skills.
